How to Use Word Documents with ChatGPT & Claude
You upload a contract draft to ChatGPT and ask whether the termination clause changed. It quotes a sentence your colleague deleted two rounds ago. Or you ask Claude to summarize section 4, and it can't tell where section 4 starts because the "headings" were just bold text.
A Word file holds a lot more than the words you see: revision history, comments, styles, layout. What the AI makes of all that depends on a parser you never see. Converting the document to clean Markdown first means you know exactly what the AI is reading.
What's Inside a .docx File
A .docx is a ZIP archive of XML files. Alongside the text, it stores:
- Styles and formatting: fonts, spacing, colors, numbering definitions
- Tracked changes: insertions and deletions that haven't been accepted yet
- Comments: margin notes, often with their own back-and-forth replies
- Layout: headers, footers, page breaks, section settings
- Embedded objects: images, charts, sometimes whole spreadsheets
Almost none of this helps an AI answer a question about the content, and some of it actively confuses it. Deleted text that's still in the file can end up treated as current wording.
What ChatGPT and Claude Do with a .docx Today
Both accept Word files, and both work from the document's text:
- Claude lists DOCX as a supported upload. For non-PDF documents it extracts text only, and images embedded in them aren't read.
- ChatGPT extracts text from Word files. OpenAI's documentation notes that images embedded in files other than PDFs are not processed.
So the useful question isn't whether the AI can open the file. It's what text the AI ends up with. Converting it yourself lets you see that text before the AI does.
How to Convert a Word Document with MDSpin
Step 1: Open the converter
Go to the Word to Markdown converter. Both .docx and older .doc files work, up to 20 MB. You can preview the result without an account; a free account gives you the full document.
Step 2: Drop in your file and click Spin
MDSpin reads the document's structure and writes it out as Markdown:
- Headings become Markdown headings (
#,##,###), so the AI can see the outline - Lists keep their bullets and numbering
- Bold and italic emphasis is kept
- Tables are kept intact as simple HTML tables, which ChatGPT and Claude read reliably, with every cell in its row and column
- Formatting noise (fonts, colors, spacing) is dropped
Step 3: Check how revisions came through
This matters if your document is mid-review:
- Tracked changes are resolved as if you accepted them all. Inserted text is kept, deleted text is removed. The AI sees the latest version, not a mix of old and new wording.
- Comments are left out. Margin notes and reply threads don't end up mixed into the body text.
If you specifically want the AI to review the proposed changes or the comments, that's a different job. Paste the old and new versions separately and ask for a comparison, or copy the comments in as a list.
Step 4: Paste into ChatGPT or Claude
Copy the Markdown into the chat, or download it as a .md file and attach that. Ask your question, and refer to sections by their headings: "In 'Payment Terms', what's the late fee?"
Get Better Results: Fix These Three Things in Word First
1. Use real heading styles. Text that's simply bold and large looks like a heading, but nothing in the file marks it as one. Apply Word's built-in Heading 1 / Heading 2 / Heading 3 styles (on the Home tab) and the structure carries through to the Markdown, so the AI can navigate it.
2. Put key numbers in text, not just in charts or pictures. Neither ChatGPT nor Claude reads images embedded in Word files. If a chart carries the main point, add a sentence or a small table with the figures.
3. Decide what version you're asking about. Accept or reject tracked changes first if you need certainty, or rely on the conversion giving you the "all changes accepted" version.
Prompts That Work Well with Converted Word Docs
- "Summarize each section in one sentence, using the section headings."
- "List every date, deadline, amount and named party in this document."
- "Which clauses would a cautious buyer push back on, and why?"
- "Rewrite the 'Scope' section for a non-technical reader."
- "Compare this version with the previous one (pasted below). List what changed."
Working with Many Documents
For a folder of policies, specs or SOPs that you query again and again, convert them once and keep the Markdown.
